Direct answer
Provide the production release, delivery schedule, packaging and lot policy, documentation and acceptance requirements. Separate immediate demand from forecast demand. A bulk quotation should identify the exact offered option and its validity, not rely on a generic catalog availability statement.
Why this issue arises
Full reels, split lots, cut tape, scheduled releases and different date-code windows can create materially different offers. A manufacturer’s packaging quantity is a technical reference; it is not automatically a supplier’s minimum order or stock balance. Ambiguity becomes costly when it reaches automated assembly or production planning.
Practical review checklist
Identify the approved line
Send complete MPN, manufacturer, BOM revision and any approved alternatives with their approval status. Separate unapproved candidates.
Split demand by date
List immediate quantity, scheduled releases, forecast usage and destination. Identify whether partial shipment is acceptable.
Set packaging and lot rules
State original full reel or cut-tape acceptance, mixed-date or mixed-lot policy, labeling and any assembly constraints.
Define quality requirements
Agree documents, batch records, inspections and acceptance criteria before the purchase. Do not add critical conditions after offer acceptance.
Align the commercial commitment
Record quantity basis, price validity, currency, delivery assumptions, shipment terms, payment and discrepancy handling; reconfirm availability at order acceptance.
Illustrative example — not a customer case
An illustrative need for 3,000 pieces may involve two original reels or an approved partial reel. Purchasing and production should agree the acceptable packaging before comparing the commercial options.
Technical boundaries
A forecast is not a reservation and an indicative lead time is not a delivery guarantee. Packaging quantities vary by complete ordering code. Production commitments require the actual written offer and customer acceptance.
